How to share files in Customer Portals

It's common to have some instructive documents you like to share with customers during Onboarding. These might be high level overviews of how the Onboarding or Implementation process may work, or specific system guides, architecture documents or other. 

Equally, when running QBRs, we know several companies that create PDF documents from their own tools to share at QBRs. 

The challenge in both cases is that the document is often shared by email and then lost or forgotten as soon as it's been viewed. 

However, by uploading documents to Customer Portals you can ensure your customer always knows where to find key information and documents can be referenced again and again without the need to hunt through inboxes first. 

There are three ways to share a file in a Customer Portal.

  1. Click Share New, choose File and upload a File from your computer. You can share PPT or PDF files this way. 

  2. Upload a file to the customer profile in Planhat and click the share icon that appears after its been scanned for viruses. In the Portal you will now see this file as an option to share when you click Share New / File. You can share PPT or PDF files this way. 

  3. Upload a file to a Task either in Planhat or directly in the Portal. You can share almost any file format with this approach.

Files shared via Share New will be visible as a tab on the left hand menu bar and you can name the tab as required. PDF files will display automatically in a PDF viewer (see image below), whereas PPT files will display as a file icon that can be clicked and downloaded .

Files shared via a task, whether ad-hoc or part of a Workflow, will always show as an icon that can be clicked and downloaded.
