Planhat's integration with HubSpot Marketing allows you to push contacts from end-users in Planhat into HubSpot so they can receive the targeted messaging you've created for them.

To get started, all you have to do is enable the Hubspot integration from the integrations page in Planhat.ย To do this you need to hover over your user profile image which is located in the bottom left corner of Planhat then go to "Integrations" and select HubSpot.

๐Ÿ“Œ Important to note: In order to use this feature you have to have the "Contact > List" feature in HubSpot enabled. If not, the option will still appear for you but you won't be able to export the contacts.ย 

We should also note that there are two types of contact lists in HubSpot:

  1. Static lists: Contacts in a static list can be added or removed manually; as a result, we can ONLY sync Planhat end-users with static HubSpot lists.

  2. Smart (dynamic) lists: Contacts in a smart list cannot be added manually, but are computed and changed dynamically based on rules set in HubSpot.


Import Contacts into HubSpot Marketing Manually

Go to the "Data" module > "End-Users" tab and select the filter/contacts that you want to export. Then in the top right corner, click on the ellipsis icon and select "Export to Excel". Now that you have your end-user data in a spreadsheet you can import this data into HubSpot.


Syncing your Contact List with HubSpot Marketing

The second way, and the more automated way, is through the Planhat integration. This is a great way to reach out to your customer base that is more low touch/tech touch that is still personal and based on their usage behaviour.

So if you have email campaigns in HubSpot that you'd like your customers in Planhat to be a part of based on their usage, you can have that end user automatically synced into the list that connects to that campaign.ย 

To set this up in Planhat click on your avatar profile (bottom left corner in Planhat) > Integrations > HubSpot and enable "HubSpot Marketing" and follow these steps:

Now all the end-users in the filter will be synced with the related HubSpot contact list.ย 

๐Ÿ“Œ Important to note:

  • There is no initial sync which means your contacts list will only start syncing when an end-user has been added or removed from your end-user filters in Planhat. A workaround to trigger this sync immediately could be:

    • Initially have the end-user filter configured without any end-user in it, or at least 1 end-user not included (confirming it's not included in the filter at that moment); then configure the filter in the Hubspot Marketing settings; once that's set, review the end-user filter configuration (or that 1 end-user field's value) to have the end user(s) "entering" the filter;

    • Another option will be doing a CSV export of the end users in the filter and using it to import the initial list in Hubspot.

  • The syncing of an end-user filter with HubSpot is done automatically once every day so that ongoing changes in end-user filters are synced to the related HubSpot list and will add or remove contacts as needed.

    The email address is used to check if the end-user exists in HubSpot, if it doesn't, it will be created. If the integration creates an end-user in HubSpot the only fields that are populated are email, first name, last name, phone and company name. It's also important to note that the company Id is not synced, so the contact created in HubSpot wonโ€™t have a company associated with it.
